Food and Beverage Administrator

We are searching for a full-time Food and Beverage Administrator to provide support to the Director of Food and Beverage, Executive Chef and Restaurant Manager. This position is responsible for the daily management of the flow of information, such as emails, written correspondence, voice mail, creating or distributing reports, filing, research and general administrative duties to support the Food and Beverage Leadership Team. This position is a salaried, Supervisory level position and will be a member of the Inn’s Leadership Team.
As a Food and Beverage Administrator you will:
- Ensure efficient and personalized guest service meeting and exceeding Relais & Chateaux, AAA 4 & 5 Diamond, and Forbes Standards.
- Schedule meetings, interviews and complete reference checks for the Food & Beverage Team; including confirming and communicating with all parties involved.
- Provide support to the Food & Beverage Team with various tasks and project assistance, as directed.
- Complete all Kitchen invoice inputting.
- Assist with Inventory for Kitchen and Restaurant, as required.
- Input and maintain the Daily Restaurant Stats and Food & Beverage team member logs.
- Manage and complete Human Resources related Forms for both the Restaurant and Kitchen including, Termination, Resignation, Vacation Requests, Progressive Corrective Action & Interview Checklists.
- Facilitate the smooth transfer of information between departments.
- Book meeting rooms, set up and take minutes for applicable Food & Beverage meetings, including creating and distributing meeting agendas and handling post-meeting communication.
- Be responsible for administrative tasks such as photocopying, filing, creating spreadsheets, documents and information management systems to facilitate day-day operations.
- Assist with Lieu Day tracking and relevant Month End data entry and reporting.
- Book restaurant reservations and review reservation reports as required.
- Organize and prioritize communication, including emails, written correspondence, and voicemails.
- Manage ordering, inventory, and re-stocking of team member vending machines.
- Keep track of compliance certifications (FoodSafe, Serving it Right).

- The upmost of discretion and act in a professional manner upholding privacy and confidentiality of all related materials and information.
- Excellent working knowledge of MS Office Suite (Word, Excel, Outlook).
- Additional knowledge of software programs/platforms such as Silverware, Optimum Control, ResDiary & Maestro, an asset.
- Previous experience in an administrative or coordinator role within the food and beverage, hospitality, or restaurant industry, an asset.
- Knowledge of food and beverage operations, inventory management, and procurement processes, an asset.
- The ability to make a 24-month commitment to position.
Salary/Wage: $51,500 per year
